The starting question
What must this component do, and which requirements make two similar parts different?

What must it do, and which questions matter most?
Bring the component into the design conversation
Do you already have a required part number, or do you need help defining the interface before selecting a component? Tell ProtoChat what the assembly must do and which connections or clearances need to be explained in CAD.
Bring the supplier drawing or product page you are using and identify the required digital deliverables. Keep unconfirmed alternatives and missing ratings open for review rather than treating a catalogue image as a complete requirement.
Write the requirement before searching
For a fastener, identify the thread standard, diameter, pitch, length, required material or grade, finish and joint conditions. For a bearing, actuator or other purchased item, add the relevant load, speed, environment, life and mounting requirements.
Record which requirements are mandatory and which alternatives the responsible designer may approve. Similar appearance or a matching nominal dimension is not enough to establish interchangeability.
Check the whole interface
A blind hole has separate drill depth, complete thread depth and actual fastener engagement. Check overlap in the assembled position, along with washers, counterbores and clearance. Required engagement depends on the joint; there is no single value that covers every load and material.
Check finish buildup and the assembly’s tolerance stack. The nominal CAD fit is only one condition. Confirm the dimensions and ratings against the current supplier drawing or specification.
Make the choice traceable in the parts list
Record the manufacturer, manufacturer part number, distributor reference, description and relevant specification revision. Keep any permitted substitutes explicit. Confirm availability, minimum quantity, documentation and lead time when requesting a quote.
Catalog CAD is useful for checking an assembly, but a downloaded model is not a substitute for the product specification. Preserve the source and retrieval date, and verify the important dimensions before release.

Compare the options
| Record | Why it belongs in the brief |
|---|---|
| Manufacturer and exact part number | Avoids buying an apparently similar item with different requirements. |
| Interface and performance requirements | Makes fit, function and operating conditions reviewable. |
| Finish and material condition | Connects the purchase to the final assembly requirements. |
| Approved alternatives and authority | Prevents an availability problem becoming an unreviewed substitution. |
